CRM And Contacts

Keep track of the people you deal with on Yeja, import and export contacts with Google, email a group, and see who is most engaged with your work.

What The CRM Is

The CRM keeps track of the people you deal with on Yeja: collectors, bidders, backers, galleries, collaborators and creators. Each contact has a stage, tags, notes and a timeline of what they have done with you. Your contacts are visible only to you.

For artists, the CRM unlocks once you finish Get Paid in Two Steps in the Wallet: verify your identity and add a payout bank. Until then it shows a lock in the sidebar. See Wallet And Payouts.

Your Contacts

  • Use the stage menu at the start of the toolbar to show All contacts, or only New, Contacted, Negotiating, Won or Lost. Search finds contacts by name, email or company.
  • A mark next to a name means the contact is linked to a Yeja account. Badges show when someone has bid on several of your auctions or backed several of your campaigns.
  • Unsubscribed means the person opted out of emails sent through Yeja. Outreach skips them.
  • Open a contact to edit their name, email and photo, add a Phone and Company, add Custom Fields, set the Stage, and add Tags and Notes. The Timeline lists what they have done with you.
  • Select Multiple turns on checkboxes so you can set a stage, add a tag, merge or delete several contacts at once.

Adding And Importing Contacts

Choose Add New or Import. Contacts are matched by email, so importing someone you already have updates that contact instead of adding a second one.

  • Sync Contacts from Yeja Activity finds people from your own activity: inquiries, World Galleries conversations and bookings, auction bids, campaign backers, collaborations, commission proposals and contracts, and sales.
  • Add manually: type one or more contacts separated by commas. Each needs an email, written on its own or after a name.
  • CSV file: the file needs an email column. Yeja also reads full_name, phone, company, stage and tags, with tags separated by semicolons.
  • Google Contacts: choose Connect Google Contacts, sign in with Google, then choose Import Contacts. Disconnect removes the connection.

If you delete a contact, past activity won’t add them back. A new inquiry from them will.

Exporting Contacts

  • Export CSV downloads all your contacts with their name, email, phone, company, stage and tags.
  • Export to Google Contacts adds all your contacts to your connected Google account as new entries. It doesn’t update or merge with contacts already there, so exporting twice creates duplicates in Google.

Sending Outreach

Outreach emails a group of your contacts:

  • Under Send to, choose All contacts, the contacts in one stage, or the contacts with one tag. View contacts shows who is included.
  • Write a Subject and a Message, then choose Send. A sent email can’t be undone.
  • The email comes from your name via Yeja Studios and ends with an unsubscribe link. Contacts who unsubscribed are skipped.
  • At the top, Yeja suggests contacts no outreach has reached in the last 90 days.
  • You can send up to five outreach emails in any 24 hours, to no more than 500 recipients in total.

Duplicates

When contacts look like the same person, Duplicates appears in the toolbar with a count. Each group says why, such as the same email, phone, account or name. Choose the contact to Keep, then choose Merge: notes, tags and emails move onto it, and its empty fields are filled from the others. Merging can’t be undone. Choose Keep Separate if they are different people, or Delete Contact to remove one. Nothing changes until you choose.

Creators And Who Should See This

If a contact has a creator listing in Promo Network, their panel shows a Creator section with their audience, similar creators and Add to Campaign. Creators you add from Promo Network come into your CRM. If your CRM is still locked, they are saved and appear once it unlocks. See Promo Network.

Who Should See This is on a work’s Insights tab in My Studio. It ranks your CRM contacts by how engaged they have been with your work overall, from inquiries, bids, pledges and purchases. It doesn’t match people to that one piece. From each row you can choose Open In CRM, Send Offer or Share Private Link. If your plan doesn’t include it, you see a notice with See Plans.

Common Questions

Why is my CRM locked?

For artists, the CRM unlocks once you finish Get Paid in Two Steps in the Wallet: verify your identity and add a payout bank. The sidebar tooltip shows what is left.

Where do my contacts come from?

From Sync Contacts from Yeja Activity, from contacts you add by hand, a CSV file or Google Contacts, and from creators you add in Promo Network.

Will importing create duplicates?

No. Contacts are matched by email, so an existing contact is updated. Exporting to Google Contacts is different: each export adds new entries there.

Can I take back an outreach email?

No. Once you choose Send, the email goes out and can’t be undone. Use View contacts to check who is included first.

How many outreach emails can I send?

Up to five sends in any 24 hours, reaching no more than 500 recipients in total.

What happens when a contact unsubscribes?

Their contact shows Unsubscribed, and outreach emails skip them.

Do I lose anything when I merge contacts?

Notes, tags and emails move onto the contact you keep, and its empty fields are filled from the others. Merging can’t be undone, so check the group first.

Does Who Should See This pick people for one specific work?

No. It ranks contacts by how engaged they have been with your work overall, not by their taste for that piece.
